When this applies

This policy describes Orbance product practice. Where the Privacy Act 1988 and Australian Privacy Principles apply, Orbance also treats their requirements as minimum obligations.

Who we are

Orbance, ABN 23 150 036 638, provides customer relationship and operating software for businesses.

Information we handle

The information depends on how you use Orbance. It can include:

  • name, work contact details, organisation and role;
  • account, authentication, subscription and billing records;
  • customer, lead, work, document and communication records placed in a workspace;
  • consent, unsubscribe, delivery, bounce and complaint records;
  • support requests and correspondence; and
  • device, browser, security and product-usage events.

Orbance does not ask for sensitive information unless it is reasonably needed for a stated function and its collection is permitted.

Where it comes from

We collect information directly through the website, signup, product, support and billing flows. A business using Orbance may also add information about its staff, clients, contacts and leads through forms, imports, email or connected services.

A short collection notice should appear at the point of collection where more context is needed. This policy does not replace those notices.

How we use it

We use information to provide and secure Orbance, resolve workspace access, process subscriptions, support users, operate requested integrations, keep evidence of important actions and meet legal obligations.

We may use service and usage information to diagnose faults and improve the product. Marketing messages are handled separately and require an appropriate permission basis.

Customer workspace data

The Orbance customer controls the business purpose for records it adds to a workspace. Orbance processes those records to provide the service, apply access controls and carry out the customer's authorised instructions.

Customers remain responsible for having authority to collect and use the information they place in Orbance. Orbance does not sell customer workspace records.

Providers and overseas handling

Orbance uses specialist providers for cloud hosting, databases, payments, email delivery, monitoring and selected AI functions. We disclose only the information reasonably needed for the relevant service or where law requires it.

When paid billing is available, Stripe processes billing contact details, addresses, tax identifiers, subscription records and payment information through its hosted Checkout and billing portal. Orbance does not receive full card details. Stripe describes its handling and international transfers in the Stripe Privacy Policy.

Some current providers process information outside Australia, including in the United States. The location can vary by service and configuration. Collection notices or product material will give more specific information where practical.

AI and automated assistance

AI features may process the content a user deliberately submits and relevant workspace context to produce a requested result. Users should review AI output before acting on it.

Before 10 December 2026, Orbance will also describe any computer-assisted decisions that use personal information and could significantly affect a person's rights or interests, including the kinds of information and decisions involved. Orbance does not claim that every AI suggestion is an automated decision.

Website and device data

Orbance may use necessary cookies for security and session continuity, and limited analytics to understand reliability and use. Where a third-party tool collects personal information, the relevant purpose and provider should be disclosed at or near collection.

Security and retention

Orbance uses access, tenant, authentication, audit and provider controls intended to reduce unauthorised access, loss and misuse. No online service can promise absolute security.

We keep information only while it is reasonably needed for the service, a customer instruction, security, dispute resolution or a legal requirement. Deletion and de-identification depend on the record type and any required retention period.

Access, correction and complaints

You may ask what personal information Orbance holds about you, request correction, withdraw marketing permission or raise a privacy complaint by emailing our support mailbox.

We may need to confirm identity and workspace authority before releasing or changing protected records. We will explain any lawful reason that prevents us from completing a request. If a privacy complaint is not resolved, you may contact the Office of the Australian Information Commissioner.

Policy changes

We update this page when our information handling materially changes. The date above shows the current public version. Material changes should be brought to affected users' attention rather than hidden in this page.
