Who this covers
This policy applies to every business, workspace and user that creates, imports, schedules, sends or authorises a message through Orbance.
The business identified in the message remains responsible for the recipients, content and permission basis. Orbance also acts on platform abuse and provider risk.
Permission required
Send marketing only where each recipient has given express consent or where a narrow, provable basis for inferred consent lawfully applies. Express consent is the safer Orbance standard.
Keep evidence of who consented, when, how, for which sender and topics, the wording shown and any later withdrawal. You cannot use a marketing email merely to ask for consent.
Prohibited activity
You must not use Orbance to:
- send unsolicited bulk or commercial messages;
- use bought, rented, scraped, harvested or unverified recipient lists;
- hide or misrepresent the authorising business or contact details;
- send deceptive, fraudulent, unlawful, abusive or malicious content;
- evade suppression, rate, review or unsubscribe controls; or
- continue marketing after permission has been withdrawn.
Sender identity
Every commercial message must accurately identify the business that authorised it and include current contact details. If Orbance delivers a message for a customer, the customer identity must remain clear; "Sent with Orbance" is not a substitute.
Required sender information must remain correct for at least 30 days after sending.
Unsubscribe
Every marketing message must provide a clear and functional unsubscribe method. It must not charge a fee, require an account or ask for unnecessary personal information.
Australian requests must be honoured within five working days and the facility must work for at least 30 days after the message. Orbance may suppress marketing immediately when a valid request is confirmed.
Bounces and complaints
Senders must not retry a known invalid address or keep marketing to a person who has complained. Orbance may process provider events, suppress destinations and require corrective action to protect recipients and sending reputation.
Review and enforcement
Orbance may request consent records, samples and list-source evidence; reduce sending rates; pause a campaign, sender or workspace; or terminate messaging access where risk is serious or repeated.
Where reasonable, we will explain the concern and allow relevant evidence or remediation. Urgent action may be taken first where needed for recipient safety, law, security or provider protection.
Report a concern
Forward the relevant sender details or message headers to support@mail.orbance.com.au with the subject Email abuse. Avoid including unrelated personal information.
